Process

Website Updates

A unit representative should email cop-website@osu.edu with the requested changes. A member of the marketing and communications team will review the suggested edits and one of two things will happen:

1. Changes will be made and a confirmation email will be sent to the unit representative who requested the change.
2. The marketing and communications director will email the unit representative with an explanation if the change does not meet web standards.

Larger Website Project

• A unit representative should meet with the marketing and communications director to discuss the proposed website project idea. After a discussion about the project, the marketing and communications director will provide the unit representative with the projected date of completion and request the information needed.
• All information requested of the unit should be sent to cop-website@osu.edu.
• A confirmation email will be sent to the unit representative to review the draft or final project when ready.

Estimated Timelines

• Text edits (a paragraph or less): 3-5 business days
• Overhaul to unit section: 4-12 weeks

Competition for the best and brightest students, donor dollars and research funding is at an all-time high. We can help you create collateral materials to showcase the strength of your program or area — recruitment brochures, direct mail, invitations, giveaway items, posters, banners, folders and more.

Estimated Timelines

• Large pieces: 12 weeks, from assigned start date through delivery/mailing (i.e., magazines/newsletters)
• Smaller pieces: approximately 30 business days, from assigned start date (i.e., brochures, postcards, etc.)

Did you or someone on your team receive an award or grant or get an article published? Do you have an event or opportunity to promote to faculty, staff, students or alumni? Do you know if an amazing story in need of telling?

Submit any and all announcements, updates, achievements, grants, publications, events or feature story ideas through the form at go.osu.edu/enews. We will review the request and, if appropriate, publish to the website dashboard or calendar. If we determine the information warrants a feature story or something more involved, a representative of our team will be in touch!

Methods

eNews

Our office sends out the eNews email newsletter to all members of the college (students, faculty and staff) every other Wednesday during the academic year and monthly to alumni. This newsletter details announcements, updates, opportunities, grants, publications, achievements, feature stories and upcoming events.

Dashboards & Calendar

The college website hosts a Faculty & Staff Dashboard, Current Student Dashboard and Alumni Dashboard that feature up-to-date announcements, news and more. Content published to the dashboards gets sent out in eNews.

Estimated Timelines

• Website dashboard or calendar additions: 3-5 business days
• Feature stories: 30-60 days, depending on the complexity of the story and availability of the subjects

Several digital screens found in Parks Hall and the Riffe Building are used to promote messages and events and convey important information.

If you would like to request a message or event to be included on the digital screens, download this PowerPoint collection of templates, complete with instructions on how to design your graphic. Once you create your digital sign, submit a request and attach the PowerPoint file.

Digital signs are updated on Mondays and Thursdays.

Email is an effective way to directly reach audiences of all sizes, but there are several key considerations — mailing lists, responsive design, open rates and branding, to name a few. We can help! 

If you need a formatted email to send to internal or external audiences, submit a request with all of the necessary information.

Requirements

• Indicate who your audience is
• Provide as much edited text and accompanying images, graphics and URLs as needed (note: we do not attach documents such as PDFs to formatted emails)
• Provide recipient lists with at least email addresses in one column of a spreadsheet at the time of the request

Estimated Timelines

• Draft review/editing only: 5 business days
• Email creation, minimal concept or content provided: 15 business days
• Email campaign with multiple versions of the email (long-term project): Discussion with the marketing and communications director

The college has accounts on the most popular social media platforms, including LinkedIn, Facebook and Instagram. Three key audiences typically engage with us on these accounts: prospective students, current students and alumni. 

If you would like to have content shared on one or more of the college's social media accounts, submit a request with all of the necessary information. A member of our team will work with you to find the best channel for your content and draft messaging to fit our social media voice.

Note: Offices within the College of Pharmacy may not have unit-specific social media accounts, according to university guidelines. Colleges and support units may only have one central account on each platform.
